COI renewal process
A renewal is a new request and a new review. The old “accepted” status does not roll forward because a vendor said the policy renewed.

Which date to watch
Track the earliest end date among the coverage lines you actually require for that contract. General liability, automobile, workers’ compensation, and an umbrella often end on different days. One “vendor expires” cell hides the line that lapses first.
If a required date is blank, the row is incomplete. Do not let a minimum-date formula skip the blank and look healthy. The spreadsheet formulas explain that trap. In software, ask whether a missing required date stays visible. That question is on the category page, not answered per product here.
Cadence
Many teams request the replacement about 30 days before the earliest required end date. That is a habit, because producers need time to reissue. It is not a statute and not a promise that 30 days is enough for your vendors. Lengthen it when agents miss shorter windows, or when your rule is that work stops the day a required line lapses.
Review the aging list on a schedule even if no single certificate expires that week. Weekly fits subcontractors who turn over with a job. Monthly can fit a stable vendor list whose policies renew once a year. Skipping the review is how an accepted row stays accepted after the date has passed. Construction jobs that run through a policy anniversary need this watch in the middle of the project, not at closeout. See COI tracking for construction.
The renewal steps
- Open the row whose earliest required date is inside your lead time, and whose contract is still active.
- Write to a live person at the vendor or subcontractor. Copy the producer if you have a current address. The request letter is wording you can adapt. Say you need a new certificate for this contract, not a note that nothing changed.
- Leave the status at expired, missing, or exception until the new file is reviewed. “It’s in process” is a note.
- When the file arrives, run the verification checklist against the same requirement set. A renewal can drop a line or rename the insured.
- Store the new file without destroying the old one. Point the record at the new file and keep the prior pointer.
- Set Accepted only after a named reviewer compares the new certificate. Then set the next date from the new expirations.
- If the contract has ended, mark the row inactive and stop the chase.
Escalation
A reminder that always goes to the same mailbox is not an escalation path. Write the path down before the first date arrives:
- First touch. The vendor contact and, if you have it, the producer, at the start of your lead time.
- Second touch. A different person at the vendor if the first address is silent. Do not wait until the day of expiration to discover the address is dead.
- Decision. Before the required line ends, a named person who can pause the work or hold payment gets the list of rows that are still unresolved. The coordinator does not invent an Accepted status to clear the list.
If your organization does not actually stop work or hold pay, do not write that consequence into the email. Say the consequence you will carry out. An empty threat trains vendors to ignore the third message.
Cancellation before the end date
An annual expiration is not the only way a certificate goes stale. A policy can cancel or be rewritten mid-term. Some certificates say the insurer will try to notify the holder. That sentence depends on the edition in your hand, and a promise to endeavor to notify you is not the same as an endorsement that requires notice. Whether you have a notice right is unknown from this page. Read the sentence on the certificate, and ask your broker if your standard requires more than the certificate. A process that only wakes up on the printed end date will miss a cancellation in month three.
What to keep
Keep the certificate you reviewed, with the reviewer’s name and the date, for as long as your records schedule says to keep evidence of the decision. This guide will not give you a number of years. That is a question for counsel and for the schedule you already use. Keeping only the newest PDF fails the day someone asks what you accepted before the renewal.
